Data & Security
Schools trust us with photographs of children. We take that responsibility seriously. here is exactly what happens to your images from the moment you send them to the moment your order is complete.
All images are transmitted over TLS and stored with AES-256 encryption. No image is ever accessible via a public URL.
Both your original images and the processed outputs are permanently deleted from our systems within 30 days of order completion. No copies are retained.
Your images never leave the United Kingdom. All processing and storage takes place on AWS infrastructure in London (eu-west-2).
Your images are processed to fulfil your order and nothing else. They are never used to train, fine-tune, or evaluate any model, ours or anyone else's.
Your school is the data controller for all pupil images. Sotara acts solely as a data processor under your instruction, as documented in our Data Processing Agreement.

Guidance & Advisory
We know schools have questions about consent, GDPR and how anonymisation fits their existing policies. Here are the questions we hear most often.
Our advice, supported by the UK Online Harms Early Warning Working Group guidance, is to anonymise all children’s faces regardless of consent status. Consent does not eliminate the safeguarding risk , any identifiable image of a child on a public website can be scraped and manipulated by digital tools regardless of whether a parent has consented to its use.
Anonymising all children consistently also removes the need to match consent records to individual photos, making the process significantly faster, simpler and more robust, and removes an administrative burden from your team.

UK GDPR treats facial images of children as personal data. The guidance from the UK Online Harms Early Warning Working Group, developed with the NSPCC, Internet Watch Foundation and National Crime Agency CEOP, advises schools to ensure images do not contain identifiable facial information. No, it's not too late, but it is urgent. The guidance recommends removing or replacing identifiable images as soon as possible.
